Who owns your leads if you leave your CRM?
You own your leads. Getting them out is the hard part.
A standard GoHighLevel export gives you a spreadsheet of contacts. It leaves behind the texts, the emails and almost all of your notes. That history is what your team spent months building.
What does a GoHighLevel export include?
Less than most investors expect. These limits come from HighLevel’s own help page on exporting contacts, last updated in December 2025.
Only an admin on the account can run the export. The file holds the columns that were showing in your contacts list when you clicked export, so any field you had hidden is missing from the file.
Each contact comes with one note, the latest one, cut off after 255 characters. That is about two sentences. The rest of the notes your reps wrote on that seller stay in GoHighLevel.
Past emails and text logs are not in the file either. So you get the seller’s name and number and none of the conversation.
Can I take my account with me if I leave my agency?
Not on your own. If an agency set up your GoHighLevel, your account sits under the agency’s account. HighLevel’s sub-account transfer guide says that by default only the agency owner can request or complete a transfer. You can ask. They have to do it.
A transfer does move a lot. Contacts, conversations and account history go with it. Some things stay behind. Phone numbers do not move automatically if either agency runs them through Twilio, and the email sending domain the agency set up is removed.
So the agency you are leaving controls when your account moves. If the relationship ended badly, or the agency closed, that is a slow conversation to be having while your leads sit untouched.
Why does the conversation history matter?
Because a lot of deals are slow ones.
A seller who was not ready in March may be ready in September. The texts from March show what they were offered and why they said no. The notes show who they are dealing with, what the house needs and when they said to call back.
With that history, your rep picks up where the last call ended. Without it, your rep calls a stranger, asks the same questions again, and sounds like every other investor who called that week.
You paid for that lead once, in ad spend or list costs. The history is what lets you work it more than once.
How do I check what I would lose?
Do this before you need it. It takes an afternoon.
- Ask your agency, in writing, whose account yours sits under, and whether they will transfer it when you leave.
- Run a test export with every column showing. Open the file and look for your notes and messages.
- Pick one seller your team worked for months. Put what the export gives you next to what you see on that seller’s record in GoHighLevel.
- Find out whether your phone numbers run through LC Phone or Twilio. If they are on Twilio, they need a separate plan to move.
If the export comes back thin, you know where you stand while there is still time to fix it.
How do I keep a copy I control?
Keep a copy of your leads and their history outside the CRM, in storage that belongs to you, updated on a schedule without anyone remembering to do it.
